How to Set Up Microsoft Outlook on iPhone (iOS) and Android
This guide walks you through downloading and configuring the Microsoft Outlook app on your iPhone or Android device so you can access your email, calendar, and contacts on the go.
Prerequisites
Before you begin, make sure you have:
- Your email address and password (or credentials provided by your IT department)
- An active internet connection (Wi-Fi or mobile data)
- Sufficient storage space on your device (Outlook requires approximately 200 MB)
- If your organization uses Multi-Factor Authentication (MFA), have your authenticator app or phone number ready
iPhone (iOS) Setup
Step 1: Download the Outlook App
- Open the App Store on your iPhone.
- Search for "Microsoft Outlook".
- Tap Get, then confirm with Face ID, Touch ID, or your Apple ID password.
- Wait for the download to complete, then tap Open.
Step 2: Add Your Account
- On the welcome screen, tap Add Account.
- If you've used the app before, tap the profile icon in the top-left corner, then the envelope icon to add a new account.
- Enter your email address and tap Add Account.
- You'll be directed to your organization's login page (Microsoft 365, Exchange, or your email provider). Enter your password and sign in.
- If prompted, complete Multi-Factor Authentication.
- If your IT department requires device management, follow the on-screen prompts to allow the required permissions.
Step 3: Configure Notifications (Optional)
- When prompted, tap Turn On to allow Outlook to send notifications.
- You can customize notification settings later under iOS Settings > Notifications > Outlook.
Step 4: Verify Setup
After signing in, your inbox should begin syncing within a few seconds. You should see your emails populating in the Inbox tab. Tap Calendar at the bottom to confirm your calendar events are loading as well.
Android Setup
Step 1: Download the Outlook App
- Open the Google Play Store on your Android device.
- Search for "Microsoft Outlook".
- Tap Install and wait for the download to complete.
- Tap Open once installation is finished.
Step 2: Add Your Account
- On the welcome screen, tap Add Account.
- If Outlook is already installed, tap the profile icon in the top-left, then tap the envelope/add account icon.
- Enter your email address and tap Continue.
- You'll be taken to your organization's sign-in page. Enter your password and tap Sign In.
- Complete any Multi-Factor Authentication prompts if required.
- If your company uses mobile device management (MDM) policies, accept the requested permissions to continue.
Step 3: Configure Notifications (Optional)
- When prompted, tap Allow to enable notifications.
- Adjust notification preferences at any time under Android Settings > Apps > Outlook > Notifications.
Step 4: Verify Setup
Your inbox should begin syncing automatically. Check that emails appear in the Inbox tab and that calendar events show under the Calendar tab.
Adding Multiple Accounts
You can add more than one email account to the Outlook app (e.g., a work account and a personal account):
- Tap your profile picture or initials in the top-left corner.
- Tap the envelope/add icon.
- Enter the additional email address and follow the sign-in steps above.
Switch between accounts by tapping your profile picture and selecting the desired account.
